Western Travel Policies
RESERVATIONS AND PAYMENTS:

An initial non refundable deposit of $400 per person is required in order to secure your reservations. If you are using an instant purchase airfare, a deposit equal to the amount of the airfare plus $200 per person will be required. Additional deposit amounts may also be necessary to obtain specific airfares. Some lodging companies require higher deposits. Final payment is due 45 days prior to trip departure. Final payments for Holiday season may be required sooner. You will receive all of your necessary trip documents approximately 14 days prior to your scheduled departure date. However, trip documents, including airline tickets, will not be sent until final payment is received in our office. For reservations made within 45 days of departure, full payment is due to confirm your reservation. Monies received within 30 days of departure, must be made via certified check, money order, Visa, MasterCard or Discover Card. Traveler's retention of tickets, reservations, or bookings after issuance shall constitute a consent to the above and an agreement on his/her part to convey the contents to his/her travel companions or group members. A $35 charge applies for returned checks.

RESPONSIBILITIES:

The responsibilities of Banchi Outdoor Adventures, Inc. and/or its agents are limited. Banchi Outdoor Adventures, Inc. acts only as an agent for clients in regard to travel and assumes no liability for injury, damage, loss, accident or delay which may occur, either by reason of defect, through acts or default of any company or person engaged in conveying the passengers, or in carrying out the arrangements of the tours, or direct or indirect acts of God, fire, breakdown in machinery or equipment, riots, strikes or from any action, omission or commission beyond the control of Banchi Outdoor Adventures, Inc.. Tour Services including, but not limited to, lift tickets, transportation, room or lodging accommodations are furnished by independent contractors (suppliers) and do not act for or on behalf of Banchi Outdoor Adventures, Inc. Banchi Outdoor Adventures, Inc. does not guarantee any of such supplier's rates, bookings, reservations, connections, scheduling, or handling of baggage or other personal effects.  The acceptance of tour arrangements is deemed to be a consent to the above. In the event of inclement weather, or other causes or events beyond the control of Banchi Outdoor Adventures, Inc. which results in delays, it shall not be the responsibility of Banchi Outdoor Adventures, Inc. to pay for resulting costs and expenses, including, but not limited to, additional lodging, meals, transportation, or other expenses.

CANCELLATIONS:

All cancellations must be received by our office in writing or by fax. Cancellations received 60 or more days prior to departure will be assessed a $100 PER PERSON FEE PLUS ANY NON-RECOVERABLE/REFUNDABLE AIR AND LAND COSTS. Cancellations received 59-31 days prior to departure will be assessed a $150 per person fee plus any non-recoverable/refundable air and land costs. Cancellations received 30 or fewer days prior to departure will receive no refund. If you have given Banchi Outdoor Adventures, Inc. a credit card or credit card number over the phone to confirm and hold a reservation until you mail a check for the deposit, your credit card will be charged the $400 per person non- refundable handling fee should you cancel your reservation prior to sending in the deposit. Banchi Outdoor Adventures, Inc. does not purport to guarantee snow conditions at any resort at any time, nor will any refund be made should the passenger cancel the agreement with Banchi Outdoor Adventures, Inc. due to snow conditions, although some resorts will provide partial refunds or credits for inadequate snow. In this instance, Banchi Outdoor Adventures, Inc. will refund all monies, less non-recoverable costs and expenses plus the $50 per person handling fee.

CHANGES / LAST MINUTE BOOKINGS:

Banchi Outdoor Adventures, Inc. reserves the right to charge a reservation change fee of $25 for each change made after the initial reservation. Bookings made within 30 days of departure will be charged a late booking fee of $25 per person plus the $50 per person handling fee.

PRICES:

Suppliers reserve the right to increase their prices without notice (i.e. fuel surcharges or Passenger Facility Charges by an airline, change in lodging tax, etc.). Any increased costs of this nature will be passed to on to the client.

NO REFUNDS FOR UNUSED SERVICES:

Refunds or allowances will not be made for transportation, accommodations, lift tickets, services, or other portions of the tour which are unused on or after the tour departure date.

TRAVEL INSURANCE:

By embarking upon his/her travel, the traveler voluntarily assumes all risks involved in such travel, whether expected or unexpected. Traveler is hereby warned of the above risks as well as possible travel industry bankruptcies and medical and climatic disruptions, and the possibility traveler may be unable to travel as scheduled because of personal emergency. Traveler is advised to obtain appropriate insurance coverage against these risks; information is available through Banchi Outdoor Adventures, Inc. regarding travel insurance. You will receive a brochure with your trip confirmation explaining program benefits, service limits, and coverage costs (including restrictions, limitations, and exclusions).YOU ARE STRONGLY ENCOURAGED TO PURCHASE TRAVEL INSURANCE TO PROTECT THE VALUE OF YOUR VACATION INVESTMENT.

AIR TRANSPORTATION:

Please remember that the airlines require that each adult passenger present a photo I.D. at the time of check-in that matches the name printed on their airline ticket. Banchi Outdoor Adventures, Inc. will attempt to accommodate your requested seat preference, but does not guarantee seat assignments. All flights booked are subject to schedule changes and/or cancellation by the airline, and are not at the control of Banchi Outdoor Adventures, Inc. Should your air travel schedule be changed by an airline, Banchi Outdoor Adventures, Inc. will make every effort to reaccommodate your party with the most convenient flight. During your travel dates, the airlines are responsible to accommodate you in the event of travel delays, unless due to inclement weather. In the event of inclement weather, the airline will use its best efforts to accommodate you, but Banchi Outdoor Adventures, Inc. and the airline both are not responsible for any additional lodging or transportation costs you may incur. MOST DISCOUNT FARES INVOLVE RESTRICTIONS. CHANGING CARRIERS OR FLIGHTS COULD RESULT IN THE AIRLINE DEMANDING AN INCREASED FARE.

CAR RENTALS:

Each car rental day is counted for a 24-hour period starting from the time you pick-up your rental vehicle. You will be charged a late fee or an extra day fee for late returns. There is no refund for early return. Car rental prices do not include: collision damage waiver, airport fees, insurance of any type, gasoline, taxes, or extended days beyond rental period. You must pay these charges directly to the car rental company. Generally, the minimum age is 25 years for car rental, and a major credit card and valid driver license is required.

LODGING:

A security deposit may be required by some properties upon check-in. Generally, a major credit card is required. Specific unit and bedding requests can be made, but can not be guaranteed.

TRAVEL DOCUMENTS:

Travel documents will be sent to you approximately 14 days prior to departure. If you have purchased airline tickets as part of your package, your documents will be sent out via Federal Express, and will require a signature. Documents will NOT be sent to any member of your party until payment in full is received in our office from every member of your party, along with a completed reservation form for each passenger.

INTERNATIONAL TRAVEL:

Traveler assumes complete and full responsibility for, and hereby releases the agent from, any duty of checking and verifying any and all passport, visa, vaccination, or other entry requirements of each destination, and all safety and security conditions of destinations, during the length of the proposed travel. However, we specifically recommend that U. S. Citizens traveling to Canada do so with a valid U. S. Passport, and notify you that all travel to South America and Europe requires a valid Passport.
